In short

  • A hybrid event has two audiences, so we plan what each one sees and what gets recorded.
  • Remote speakers and the in-room programme can be recorded separately or as one finished video.
  • The internet, the meeting platform and who controls it are agreed before the day.

A hybrid event has people in the room and people online, and both groups should feel part of the same event. We film the room and plan how remote speakers and viewers connect to it, so you end up with a clear recording of both sides.

Hybrid coverage is available on request and confirmed for each event. It depends on your venue, internet and the platform your team uses.

What counts as a hybrid event?

A hybrid event usually has at least one of these:

  • A speaker, panellist or guest who joins from another place.
  • Online viewers who watch the room and can ask questions.
  • Remote teams or branch offices that take part in a shared programme.

If you only need remote viewers to watch, start with event livestreaming. If the main need is showing the camera on the venue’s screens, see live feed to venue screens. This page is for when both directions matter.

Which recordings can you choose?

Recording What it is Best for
In-room recording The stage, speakers and audience, filmed from the room A clean record that does not depend on the internet
Remote contributor recording The talk or answer from a speaker joining online Keeping the online speaker in good quality
Joined programme video In-room and remote parts edited into one running order Sharing the full session with people who missed it
Highlight film A short edit across both sides Reporting back or promoting the next event

A screen capture of an online meeting can look flat. Ask whether the remote speaker can also record their own talk at their end, which usually gives better picture and sound.

What do we agree before the day?

  1. Who is remote and who is in the room, by session, so we know which parts of the programme need a screen.
  2. Who runs the online side: the platform, the host, who admits guests and who watches the chat.
  3. How remote speakers appear in the room, such as on a screen beside the stage, and how in-room speakers appear online.
  4. Sound: how remote voices reach the room and how the room reaches the online audience. Echo is the usual problem when this is not planned. Our event audio brief builder helps you list what the venue provides.
  5. The fallback if a connection fails, agreed per speaker.
  6. What is recorded and who may see it, including consent from online participants.

The livestream planning checklist covers internet questions in more detail and works for the online half of a hybrid event.

What affects the quote?

A two-speaker panel and a full-day hybrid conference are very different jobs. The quote follows the number of sessions with remote participants, the cameras the room needs and whether the online side is streamed, recorded or both.

The quote lists each recording and who provides which part of the setup. See how we quote. To start, message us the date, venue and rough programme, or fill in the event video brief builder first.

What happens on the day?

We film the room as any programme, with extra attention to the moments where the room and the screen meet: introducing a remote speaker, taking questions and returning to the stage. If the event needs more than one view, multi-camera recording can be added.

We agree a time with your AV team to check the connection and screens before guests arrive, not after the programme has started. A short rehearsal with each remote speaker also helps: they test sound, camera angle and the room screen while there is still time to fix problems.

Not sure which sessions need a remote link and which can stay in the room? Message us your rough programme, and we will suggest where the screen setup matters most.

Questions people ask

What does hybrid event video involve?
We film the in-room programme and plan how remote speakers or viewers connect to it. Depending on your brief, that can mean a livestream, a recording of remote contributors, or a finished video that joins both sides.
Is hybrid the same as a livestream?
No. A livestream sends the room to online viewers. Hybrid also brings online people into the room, such as a speaker on a screen or questions from viewers. You can have a livestream without hybrid.
Who provides the meeting platform for remote speakers?
Usually the organiser, because remote speakers need an account, link and rules that your team controls. We plan how to capture the platform's output in the recording, and agree early who hosts, who admits guests and who handles problems.
What if a remote speaker's connection drops?
Connections can fail on either side, so we agree a fallback beforehand. Common choices are a pre-recorded version of the talk, a recording made at the speaker's end, or a short pause in the programme. Which one suits you depends on the speaker and the session.
Can we keep separate recordings of the room and the online session?
Yes, if you ask for it in the brief. Separate recordings give you more choice when editing, and a clean copy of the room even if the online part has problems. We list each recording in the quote so you know what you will receive.
Do remote speakers need to agree to being recorded?
Yes. Tell remote speakers and online participants that the session is recorded and how the video will be used. Your organising team usually collects this agreement, and we can help with the wording.
