Drone planning

What if your booked drone flight cannot go ahead?

Agree the backup coverage and how the quote treats it, before the event.

Send your date and area. We suggest coverage and confirm availability.

In short

  • Drone footage is conditional, so agree the 'if not' before you book.
  • A flight can be stopped by approval, venue rules, weather or the operator's judgement.
  • We plan ground coverage so the film is complete without the flight.
  • The quote should say how the drone item is treated if it cannot proceed.

Agree before the event what happens if the drone cannot fly. That means two things: the backup coverage that keeps your film complete, and how the quote treats the drone item. Ask for both in writing before you book.

Why can a booked flight stop?

Drone footage is conditional. Any one of these can stop a flight, and none means something was done badly.

  • Approval: CAAM asks for standard applications at least 14 working days before the activity, and Sabah and Sarawak need additional authorisation. It may not come in time or at all.
  • The venue: it may refuse flying on its grounds, or limit where.
  • Weather: rain, wind or poor visibility on the day.
  • Crowds and surroundings: the operator may judge the area unsafe once people arrive.
  • Technical or safety reasons: the operator can decide not to fly.

Our guides on lead time and crowds and restricted areas cover approval and crowds in more detail.

What happens in each case?

This table is a way to think about the agreement, not a fixed policy. Your quote sets the real terms.

What happens Backup Ask in the quote
Approval is refused before the day Ground and elevated shots replace the aerial plan. Is the drone item removed or replaced, and how is it shown?
Venue refuses Same, planned in advance. Same.
Weather stops the flight on the day Wait if the schedule allows, otherwise ground shots. How long will you wait, and is there a second attempt?
Operator calls it off on site Ground plan runs as agreed. Who makes the call, and when do you hear?

What backup coverage should the quote name?

Name specific shots, not a general promise to do our best:

  1. An elevated ground position for a wide view of the venue.
  2. A wide establishing shot of the entrance or stage.
  3. A moving shot along the main path of arrival or procession.
  4. Existing aerial footage, clearly labelled, if you have the right to use it. See reusing existing aerial footage.

The weather and venue-change filming plan is useful for the weather case.

What to put in the agreement

  • Who applies for approval, and by what date you must give venue details.
  • The deadline by which you will be told if the flight is off.
  • The backup shots, written down.
  • How the drone item is treated if it cannot proceed, as a line in the quote.
  • Whether a second attempt is possible, and on what terms.
  • Whether the flight can move earlier or later on the same day. If weather is the risk, a short window often saves the shot, and the run sheet decides if there is room.

Our videography booking scope checklist helps you keep these in one place, and event drone footage explains how drone fits into a quote. Send us your date and venue and we will draft these points with you.

A worked example

This is an illustrative example.

A hotel launch is planned with a drone shot of the building at dusk. The venue agrees, but on the evening it is windy and the operator decides not to fly. Because the backup was agreed, the film already has a raised exterior shot from the car park and a wide view from the entrance. The launch film is complete, and the quote already says how the drone item was handled.

Without that agreement, the same evening would leave a gap in the film and an argument over the quote.

If drone footage is in your plan, send us your date and venue. We will write down the backup coverage and how the drone item is treated if it cannot fly.

Useful next steps

Drone footage for events, if approved

Drone footage at an event depends on approvals. See who must say yes, how early to ask in Malaysia, and the ground shots we plan in case the drone cannot fly.

Drone coverage planning checklist

The drone questions to settle before an event: site, state, lead time, approvals, who flies and a ground alternative. A planning aid, not an approval.

Does your event need drone footage?

Not every event needs aerial shots. See when a drone adds real value, when ground cameras are enough, and how to weigh cost, permission and risk before you ask.

Questions people ask

Why might a booked drone flight not go ahead?
Approval may not be granted in time, the venue may refuse, weather may be unsafe, or the operator may judge the conditions or crowd unsafe on the day. These are not planning failures. They are why drone footage is called conditional.
Will I still get a complete film?
That is the purpose of the backup plan. We agree ground and elevated-position shots with you beforehand, so the film is complete without the aerial shots. Aerial footage is an addition, not the foundation.
Do I pay for the drone item if it cannot fly?
It depends on what was agreed. Ask for the treatment in writing before booking: whether the item is removed, replaced with other coverage, or handled another way. The treatment follows the scope of your event, so each quote states it.
Can we reschedule the flight to another time?
Sometimes, if the event schedule, venue and approval allow it. For a single-day event this is often not possible, so do not count on it. Agree it in advance if it matters to you.
When will I know whether the flight will happen?
We tell you as soon as we hear back on approval and venue permission, ahead of the day. On the day, the final call is made on site by the operator, and we tell you straight away.
