Internal recap video

An internal event recap your staff will watch

Plan a recap where staff feel seen, learn what matters and can find it again later.

In short

  • An internal recap has three jobs: recognise people, share key information and be easy to find.
  • Keep it short enough to watch at a desk, and let staff jump to the part they need.
  • Decide who may watch it, and who may not share it outside the company.
  • Check that nobody appears in a way they would not want colleagues to see.

An internal recap works when staff feel seen, learn what they need to know and can find it again later. Plan those three things before you decide on music or length.

What should an internal recap do?

A public highlight film sells the company to outsiders. An internal recap speaks to people who work there.

That changes the choices. Staff care about who was thanked, what was announced and whether their team was there. They do not need an introduction to your company.

Recognition: who should appear?

Recognition is what staff look for first. It is also where recaps go wrong, when one department gets all the screen time and another gets none.

Before the event, make a short list:

  • Award winners, long-service staff and new joiners.
  • Teams that organised or worked behind the scenes.
  • Departments from different locations, if staff are spread across branches.

Give us the list so we capture these people during the day. After the edit, check the cut against the list. It is easier to fix a gap in review than after it has been sent to everyone.

Information: what must staff know?

Many staff only watch the recap to hear the announcements. If a message matters, such as a new direction, a policy change or dates to remember, put it in the video clearly.

Check each message with the person who owns it. Do not let the video say something the company has not yet confirmed. Where staff need exact wording, add on-screen text or keep the full speech as a separate video.

Access: who should see it?

Internal does not mean harmless. The recap may show guests, clients, board discussions or staff who have not agreed to be shared. Decide three things:

  1. Who may watch. All staff, one division or management only.
  2. Where it is stored. Your IT team can advise on a place with the right access.
  3. Whether it can be shared outside. If the answer is no, say so on the video page, and ask staff not to forward it.

Our private and public version planner helps you decide which version suits which audience. For a closer look at who can be shown and shared, see our permissions and responsible publication guide and the filming and publication responsibilities checklist.

A simple structure to start from

This is an illustrative structure, not a fixed format. Adjust it to your event.

Part What it does
Opening Sets the scene: the venue, the mood, the theme
Key messages The announcements staff need, in plain words
Recognition Award winners, teams, thank-yous
People Candid moments across departments
Closing A thank-you and what happens next

If your event was a town hall or briefing, our town hall and employee briefing videography service explains how we film them.

Making it easy to watch

Staff watch at desks, on phones and sometimes without sound. A few choices help:

  • Put captions on key messages. Our captions and subtitles service covers this.
  • Put the main point near the start, so people who stop early still get it.
  • Name the video clearly so it can be found later.

What we confirm for your event

  • Separate videos. The recap and the full speeches can be delivered as two videos.
  • Every department. From your list we plan shots so each department is filmed.
  • Files. We agree who receives the files and in what format.
  • Changes. We agree how review rounds work if a manager wants a change.

Where we can help

If you already have footage from your event, our event video editing service can shape it into a recap for staff. To plan the other videos from the same event, see our guide to a post-event distribution schedule.

If you have an internal recap in mind, tell us who will watch it and what staff should take from it. We plan the filming and the edit around those points.

Ask about your event

Useful next steps

Editing your existing event footage

Already filmed your event? We edit your phone or camera footage into a highlight film, speech cut or social clips. What we check first and what to send.

Plan all the videos from one event

List every video you want after your event, with audience, channel, deadline, approval owner and permissions, and see clashes before they cost you time.

How to tell if your event video worked

Measure whether an event video achieved its purpose: pick the right measure for each goal, set it before release and avoid claiming results you cannot show.

Questions people ask

How long should an internal recap video be?
Short enough to watch at a desk. A recap with thanks and key announcements can be brief. If staff need a speech in full, keep it as a separate video so people can choose.
Should the recap include the full speeches?
Offer them separately. A recap tells the story of the event, while a full speech suits people who need every word, such as those who could not attend. Two videos serve both groups better than one long one.
Can we keep the recap inside the company?
Yes. Decide before the event that it is internal only, and tell us. We deliver the file to the person you name, and you choose where it is stored and who can open it, for example with your IT team.
How do we make sure everyone is shown fairly?
Give the crew a list of teams, award winners and long-serving staff, and ask for a spread of people across departments. Then review the cut for balance before it is shared.
Do staff need captions?
Captions help in open offices, on mobile and for colleagues who prefer another language. Captions and translation can be arranged on request, so tell us which languages your staff use.
